Terms of Service

1. Acceptance of Terms

These Terms of Service ("Terms") govern your access to and use of Gearlogue ("we", "us", "our"), including our website at gearlogue.com, our web application, and all associated features and services (collectively, the "Service").

By creating an account or using any part of the Service, you agree to be bound by these Terms and our Privacy Policy, which is incorporated into these Terms by reference.

If you do not agree to these Terms, do not create an account or use the Service.

2. Eligibility

You must be at least 16 years old to use Gearlogue. By using the Service, you confirm that you meet this age requirement. If we become aware that an account belongs to a person under 16, we will close that account and delete associated data.

If you are using the Service on behalf of a company or organisation, you represent that you have the authority to bind that entity to these Terms.

3. Account Registration and Security

To use most features, you must register for an account. You agree to:

  • Provide accurate, complete, and up-to-date information.
  • Keep your login credentials confidential and not share your account with others.
  • Notify us immediately at support@gearlogue.com if you suspect unauthorised access to your account.
  • Not create more than one personal account. Multiple accounts used to circumvent limits or bans may be removed.

You are responsible for all activity that occurs under your account, whether or not you authorised it. Gearlogue is not liable for any loss resulting from unauthorised use of your account.

We reserve the right to reclaim or reassign usernames that are inactive, misleading, or that impersonate another person or brand.

4. Subscriptions and Billing

Plans

Gearlogue offers a free tier and paid plans (Pro and Team). A comparison of features and limits is available on the Pricing page. Paid plans are billed monthly or annually.

Some AI features use plan-based allowance and optional prepaid AI credit balance. Current allowance, prepaid-balance, web-search, and import limits are shown in the Service and may vary by plan.

Payment

Payments are processed by Stripe. Gearlogue does not store your payment card details. By subscribing, you authorise Stripe to charge your payment method on a recurring basis at the start of each billing period.

Prices shown are in US dollars and exclusive of any applicable taxes. Tax may be added at checkout depending on your location. We reserve the right to change prices with at least 30 days' notice; price changes will not apply until your next renewal.

Cancellation

You may cancel your subscription at any time from Settings > Subscription. Your access continues until the end of the current billing period. We do not offer prorated refunds for the unused portion of a monthly billing period.

Refunds

For monthly plans: no refunds are issued for the current billing month after payment has been processed.

For annual plans: you may request a full refund within 14 days of the initial purchase, provided you have not materially used the paid features. After 14 days, annual subscriptions are non-refundable.

If you are a consumer in the European Union or United Kingdom, you have a statutory 14-day right to withdraw from a purchase of digital services. However, by activating a paid plan and using paid features, you explicitly consent to immediate performance of the service and acknowledge that your right of withdrawal may be forfeited from the moment you first use a paid feature.

Refunds for technical failures or billing errors are handled case-by-case. Contact support@gearlogue.com within 30 days.

Prepaid AI credit purchases are credited to your Gearlogue account balance and are not redeemable for cash, transferable, or interest bearing. They do not expire while your account remains open, but may be refunded only where required by law or where a billing error has occurred.

Downgrading

If you downgrade to a plan with lower limits, your existing gear, kits, and projects are not deleted. Items above the new plan's limits become read-only until you either upgrade again or reduce your item count to within the new limits. No data is lost as a result of a downgrade.

Free Tier Limits

The free tier is subject to usage limits (gear items, kits, projects, AI allowances, imports, and collaboration features). We may adjust free-tier limits from time to time. Current limits are shown in the Service and on the Pricing page. We will provide reasonable notice before reducing limits that materially affect existing free-tier users.

5. Your Content

You retain ownership of all gear data, kits, projects, images, videos, web links, imports, feedback reports, and other content you create or upload to Gearlogue ("Your Content").

By posting or uploading content, you grant Gearlogue a non-exclusive, royalty-free, worldwide licence to store, display, distribute, and reproduce Your Content solely for the purpose of providing and improving the Service. This licence ends when you delete the content or close your account.

You are responsible for ensuring that Your Content does not infringe any third party's intellectual property rights, privacy rights, or applicable laws. By posting content, you confirm that you have the right to do so.

Public Content

Gear, kits, and projects you mark as "public" are visible to other users and may appear on community pages, public profiles, search results, direct links, and AI community/reference answers. Public content may be indexed by external search engines. When you make content private or delete it, it is removed from Gearlogue promptly, but we cannot control what third-party search engines or caches may retain.

We may feature high-quality public kits and projects in curated sections of the Service (e.g., "Staff Picks"). This does not imply endorsement of the content or the author.

Content Removal

We reserve the right to remove or restrict content that violates these Terms, is reported as infringing, or is otherwise harmful, without prior notice.

6. Community and Reference Content

Gearlogue may include gear lists sourced from publicly accessible pages (such as gear blogs, YouTube descriptions, and outdoor publication websites) as reference examples for product and AI discovery features. This content is attributed to the original author and linked back to the source page. Gearlogue does not claim ownership of third-party content.

The AI assistant may use public community content and reference examples to answer questions about gear and equipment when the relevant data source is enabled. The content is used for informational purposes only; we do not reproduce full articles.

Copyright and Takedowns (DMCA)

If you are the author of content that appears on Gearlogue without your permission, please contact us at support@gearlogue.com with the subject line "Copyright Takedown Request", including:

  • A description of the copyrighted work and a link to the original source.
  • A link or description of the Gearlogue page where the allegedly infringing content appears.
  • Your name, contact details, and a statement that you are the rights holder or authorised to act on their behalf.

We will process valid requests promptly and remove the relevant content.

7. AI Assistant

What the AI does

The AI assistant helps you organise gear, build kits, plan trips, and discover what others pack for similar activities. It can search your inventory, create and update items, reference publicly shared community content and Gearlogue reference examples, and optionally use web search when that feature is enabled for your plan.

AI limitations and accuracy

AI-generated content may be inaccurate, incomplete, or out-of-date. Large language models can produce confident-sounding responses that contain factual errors — a phenomenon commonly known as "hallucination". This means the AI may state incorrect gear specifications, weights, prices, availability, or product details without any indication that the information is wrong.

Always verify independently. Do not rely solely on AI-generated recommendations for safety-critical decisions. Before any trip, verify gear specifications, weights, and suitability for your specific conditions from the manufacturer or a trusted source, particularly in environments where equipment failure could be dangerous.

AI recommendations are a starting point, not professional advice. Gearlogue is not liable for any loss, injury, or damage resulting from decisions made based on AI-generated content, including inaccurate gear information, hallucinated product details, or recommendations that prove unsuitable for your conditions.

Your data and the AI

During AI conversations and AI import workflows, relevant data from your account (gear items, kit contents, project details, uploaded files, pasted URLs, or import previews) may be sent to our AI provider to generate contextual responses or extraction proposals. In plain terms:

  • Your conversations are stored in our database and automatically deleted after 90 days. If you ask the assistant to remember a preference, that preference may also be stored for future sessions. You can start a new conversation session at any time, which clears the active context.
  • Your gear data is not used to train AI models. Gearlogue uses Amazon Bedrock / Anthropic Claude for AI processing; the provider processes your data to answer your questions and does not retain it for model training.
  • If you enable web search, your search query may be sent to a third-party search provider so the assistant can retrieve current public results.
  • You can delete all AI conversation history by deleting your account from Settings > Profile.

Credits and limits

AI usage is subject to plan-based included allowance, daily and weekly safeguards, and (where enabled) optional prepaid AI balance rules. If you reach a relevant limit, the AI assistant may be temporarily unavailable until the next reset or until you add prepaid balance. Current pricing and usage details are shown in the Service and on the Pricing page.

AI import results are shown as a preview before saving. You are responsible for reviewing extracted gear, weights, prices, and sources before confirming an import.

Web search (Pro and Team)

Pro and Team users can enable the AI assistant to search the web for current gear information and pricing. Web search results are sourced from a third-party search API. Gearlogue is not responsible for the accuracy, availability, or content of third-party websites referenced in search results.

Guardrails

The AI assistant is designed to help with gear, kits, and outdoor planning. Off-topic requests, attempts to override the AI's instructions, and requests for harmful content will be declined. Content filters are in place to maintain a safe and relevant experience.

8. Creator Programme

Gearlogue offers a Creator badge for users who meet certain eligibility thresholds (minimum follower count and number of public kits, as configured by Gearlogue). The thresholds and criteria may change; we will provide reasonable notice of significant changes.

Creators can add social media links and promotional information to gear items. This is a disclosure tool, not a revenue arrangement. Gearlogue does not pay creator fees or revenue share unless a separate written agreement is in place.

Social verification

Creators can verify linked social media accounts (YouTube, TikTok, and X/Twitter; support for additional platforms may vary over time). Verification confirms that the social account belongs to you; it does not imply endorsement by Gearlogue or by the social platform.

By completing social verification, you authorise Gearlogue to display your verified status publicly on your profile and gear items. You can remove a verification at any time from your creator dashboard, which will also remove the badge.

Creator promotional content (links, promo codes) displayed on public gear items must comply with applicable advertising disclosure laws in your jurisdiction. You are solely responsible for ensuring your promotional content meets these requirements.

9. Team Plans

Team plans allow a team owner to invite members to collaborate on shared projects and kits.

  • Responsibility: The team owner is the account holder, payer, and is responsible for the conduct of all team members under their plan.
  • Member conduct: Team owners must not knowingly allow members to use the team account in violation of these Terms. Gearlogue may suspend or terminate the team account if a member engages in prohibited conduct.
  • Downgrade and freeze: If the team owner downgrades from a Team plan, the team is frozen. Members can view existing content but cannot add, edit, or contribute new content until the owner upgrades again or the team is dissolved.
  • Account closure: If the team owner's account is closed or terminated, the team and all its associated data may be permanently deleted. It is the team owner's responsibility to notify members and export data before closing their account.

10. Acceptable Use

You agree not to use the Service to:

  • Violate any applicable law, regulation, or third-party rights.
  • Post content that is defamatory, harassing, threatening, obscene, or discriminatory.
  • Impersonate another person, gear brand, retailer, or public figure.
  • Post false, misleading, or fabricated gear reviews, specifications, or weights.
  • Submit knowingly false feedback reports, abuse the report flow, or upload screenshots or attachments that violate these Terms.
  • Send unsolicited messages or spam other users.
  • Attempt to scrape, crawl, or extract data from Gearlogue by automated means without our express written permission.
  • Attempt to circumvent subscription limits, access controls, or other technical restrictions.
  • Reverse-engineer, decompile, or attempt to derive the source code of the Service.
  • Use the AI assistant to generate dangerous, deceptive, or otherwise harmful content, or to attempt to override its guidelines.
  • Upload malware, viruses, or other harmful code.

We reserve the right to remove content that violates these guidelines and to suspend or terminate accounts without notice in serious cases.

11. Intellectual Property

The Gearlogue name, logo, interface design, and proprietary software are owned by Gearlogue and protected by intellectual property law. You may not reproduce, distribute, or create derivative works from our materials without our express written permission.

All rights in third-party content displayed on Gearlogue (including scraped gear lists and their original descriptions) remain with the respective rights holders.

Feedback: If you submit suggestions, ideas, or feedback to Gearlogue, you grant us a perpetual, royalty-free licence to use that feedback without any obligation to compensate you or keep it confidential.

12. Disclaimers and Limitation of Liability

Service provided "as is"

The Service is provided "as is" and "as available" without warranties of any kind, either express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or free from security vulnerabilities.

AI and gear recommendations

AI-generated gear recommendations, weight calculations, and kit suggestions are provided for reference and planning purposes only. Gearlogue makes no warranty as to the accuracy, completeness, or suitability of any AI-generated content. You are solely responsible for verifying all gear specifications before use in any activity, particularly those involving personal safety.

Accuracy of gear data

Community-contributed values, AI-estimated values, and values pulled from web sources are provided for reference only. Do not rely on them for safety-critical decisions (load limits, technical climbing, hiking with children, water sports, etc.) — verify weights, dimensions, and specifications yourself before relying on them.

Limitation of liability

To the fullest extent permitted by law, Gearlogue's total liability to you for any claim arising from or related to these Terms or the Service is limited to the greater of (a) the total fees you paid to Gearlogue in the 12 months before the claim arose, or (b) £100.

In no event shall Gearlogue be liable for indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, goodwill, or other intangible losses, arising from your use of or inability to use the Service.

Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by law.

Indemnification

You agree to indemnify and hold harmless Gearlogue and its officers, directors, and employees from any claims, losses, or damages (including legal fees) arising from your content, your use of the Service, or your violation of these Terms.

13. Termination

By you: You may close your account at any time from Settings > Profile > Delete Account. This permanently and irreversibly deletes all your data. If you have an active paid subscription, your access continues until the end of the current billing period; the subscription is automatically cancelled and no further charges are made.

By us: We reserve the right to suspend or terminate your account at any time, with or without notice, if we reasonably believe you have violated these Terms or engaged in conduct harmful to other users or the Service. In the event of termination for breach, no refund will be issued for any unused subscription period.

We may also suspend accounts where required by law or to protect the security and integrity of the Service. In such cases, we will attempt to notify you unless prohibited from doing so.

Effect of termination: Upon account closure or termination, your licence to use the Service ends immediately. Your public content may take up to 72 hours to be fully removed from the community feed and search index.

14. Governing Law and Disputes

These Terms are governed by and construed in accordance with the laws of England and Wales, without regard to conflict of law principles.

If you have a dispute with Gearlogue, we ask that you first contact us at support@gearlogue.com and give us a reasonable opportunity to resolve it informally. If the dispute cannot be resolved informally within 30 days, you may seek resolution through the courts of England and Wales.

If you are a consumer in the European Union, you may also be entitled to use the EU Online Dispute Resolution platform at ec.europa.eu/consumers/odr.

15. Changes to These Terms

We may update these Terms from time to time. For material changes (such as changes to billing terms or user rights), we will provide at least 30 days' notice before the changes take effect — for example, by posting a notice in the application or emailing the address associated with your account.

Your continued use of the Service after the effective date of updated Terms constitutes your acceptance of the changes. If you do not agree to the updated Terms, you must stop using the Service and may close your account before the changes take effect.

The "Last updated" date at the top of this page reflects the most recent revision.
